Data Privacy Notice

Who we are

The Kirkliston Community Centre Association (KCCA) is a registered charity, number SC000028, and is regulated by the Scottish Charity Regulator (OSCR).  The Kirkliston Community Centre is located at 16-18 Queensferry Road, Kirkliston, EH29 9AQ.

We are committed to maintaining the trust and confidence of all our customers – those who use the centre to run clubs, classes and learning events and those who take part or just drop into the centre from time to time.

Data collected for customers of the centre

For people and organisations who rent or hire space in the centre for clubs, classes and learning events, the centre will collect the following information:

  • Name of organiser or organisation
  • Postal address
  • E-mail address
  • Contact telephone number(s)
  • Bank details

The data is stored in the centre’s account with Google.com, which is a cloud based application.  The centre has ownership of this data and will only retain it in order to execute its day to day business.  Access is limited to the Trustees of the KCCA.  Google does not claim ownership of any content, including any text, data, information and files in the centre’s Google Drive account.

Billing data is added to GoCardless, which is the service used by the KCCA to manage payments for clubs, classes and learning events – this is covered by GoCardless’ own privacy policy, which can be viewed here:  GoCardless Privacy Policy

Communications about your accounts

We will use the contact details you provide to send you information relevant to the operation and maintenance of your account with us.

Data collected via our website

When someone visits www.kirklistoncommunitycentre.org we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns.  We do this to find out things like the number of visitors to various parts of the site.  This information does not identify anyone.  We do not make any attempt to find out the identities of visitors to our website and we don’t allow Google to do that either.

This privacy notice does not cover any links within the site linking to other websites.  Those sites are not governed by this Privacy Policy and, if you have questions about how a site uses your information, you’ll need to check that site’s privacy statement.

WiFi

The centre offers guest WiFi.  When you use this service, we do not collect any data about your device, the volume of data you use, the websites and applications you access or your usage access time, frequency or location.

Closed Circuit Television (CCTV)

The centre operates a CCTV system for the safety of our staff, our customers and for the purposes of crime prevention.  Video files are held for no more than 50 days before being overwritten.

Sharing your data

The centre will occasionally share details of clubs, classes or learning events, including contact information, for promotion purposes on its website and/or Facebook page.  This will only be done with the explicit agreement and consent of the club, class or learning event organiser(s).It may be necessary to share video data with law enforcement agencies to assist with criminal investigations. Other than the scenarios noted in this Privacy Notice, the KCCA does not share any of your personal information with 3rd parties.

How long we keep your information

We won’t keep your information longer than we need to.  This is usually up to 6 years after your relationship with the KCCA has ended.  We may be required to keep information for longer (for example due to a court order or investigation by law enforcement agencies or regulators).

Your rights

Under GDPR, any customer of the Kirkliston Community Centre has the right to access and amend any of their personal data that we hold.  E-mail your request to our Data Privacy Officer at info@kirklistoncommunitycentre.org 

Customers are welcome to view the Centre’s data retention and deletion processes at any time.

Policy Creation and Review

This Data Privacy Notice was written in May 2018.  It will be reviewed by the Trustees of The Kirkliston Community Centre Association annually at the association’s Annual General Meeting, usually held in June each year.
